For the owner or manager, before the first sale.
When you need this
Before you sell anything: every product you sell needs to be in SalesDue with its selling price and its tax, so the till and your invoices charge the right amount. Come back here when you start selling something new, or a price changes.
Do these first, so the product form has what it asks for:
- Your taxes, and whether your prices include VAT: see Currencies and taxes. It decides whether you type a price with VAT in it or without.
- Categories, brands and units (optional): in the menu, Setup, then Categories (New Category), Brands (New Brand) or Units of Measurement (Create Unit).
- Suppliers (optional): in the menu, Suppliers.
Steps
Add a product
In the menu, open Products, then press New Product.
Under Product Information, type the Name. It's the only box you must fill in, apart from the price.
Fill in what helps you find it: Code, Barcode (scan it into the box, or type the number under the barcode), Categories, Unit, Suppliers, Brand and Description.
If you fiscalise, type the product's Tax Code.
Under Discounts & Taxes, pick the product's tax in Taxes: VAT, zero rated or exempt.
Under Pricing, type the price a customer pays in the selling price box. Its name tells you which price to type:
- Selling Price (incl. VAT): the shelf price, with VAT in it. The app takes the VAT out of it.
- Selling Price (excl. VAT): the price before VAT. The app adds the VAT on top.
Under the price, a line shows the price split into net, VAT and gross, as an estimate.
Type the Cost Price (what you pay for one) and the Margin if you keep them. They don't change the selling price.
Under Item Settings, check the switches:
- Track inventory: on, to count how many you have. Turn it off for something you don't keep count of.
- Available on POS: on, to sell it at the till.
- Available online: on, to show it on your online shop.
- Sold by measure: on for things like gas or fuel, sold by an amount of money or a quantity.
- Serialized (voucher): on for codes sold one at a time, such as WiFi vouchers.
Under Locations, check the row for your shop: Available must be ticked. With more than one shop, tick each shop that sells it (see More than one shop).
Press Save & View to open the new product, or Save & Add Another to start the next one.
The price is in your shop's main currency, for sales at the till.
Add many products at once
- In the menu, open Products, then press Upload Items. (It's also on Setup, as Upload Products.)
- Follow the steps on the screen.
Change a product or its price
- In the menu, open Products. Type in Search by name... to find the product, and press its row.
- Change what you need. The selling price is under Pricing.
- Press Save.
To change the prices of many products at once, press Bulk prices on Products.
What you should see
- After Save & View, the product's own page, with what you typed.
- After Save & Add Another, Successfully saved and an empty form.
- The product in the Products list, with its price.
If something goes wrong
- "Price is required before this item can be sold on the POS or online." Type the selling price. A product with no price can only be saved with Available on POS and Available online both off: for example something you use up, but never sell.
- "No tax picked – pick one (VAT, zero rated or exempt), or this item can't be fiscalised when a store in your company sells it." Pick the product's tax in Taxes. Every product you sell needs one when you fiscalise.
- Save & View can't be pressed: Name is empty.
- The price on the receipt is higher or lower than the shelf by the VAT: the price was typed on the wrong side of VAT. Check whether your prices include VAT (see Currencies and taxes), then correct the product's price.
- "This product belongs to another store in your company…" on a product: another of your shops owns it. You can set this shop's price, reorder level and stock in the Inventory card; change its other details at the shop that owns it.
- "Access Denied: You do not have permission to access this page." after New Product, or Products missing from the menu: your role can't add products. Ask the owner.
